1How the app is organised
- •Tenants - enter each tenant once (name, key, rents, move-in, opening arrears, optional photo).
- •Payments - record every payment received (one row per payment). Partial and catch-up payments each get their own row.
- •Year View - fully calculated monthly balances for any year 2024-2040. Nothing to type here.
- •Dashboard - arrears KPIs, tenants in arrears, and overall position. Driven by the As-of date.
- •Bulk Entry - generate many payment rows at once (e.g. full year for all tenants), then apply them in one click.
2Adding & editing tenants
- •Use the form at the top of Tenants to add a new tenant: Tenancy Key, Name, Move-in, Opening Arrears, and a monthly rent (applied to 2024-2028).
- •Click Edit on a row to change details, set rent per year, move-out date, or upload a profile photo (JPG/PNG/WebP, max 2MB).
- •Do not reuse tenancy keys. Keys are used to match payments to tenants.
- •Opening arrears is the balance brought forward at 1 Jan 2024.
3Recording payments
- •On Payments, enter Tenancy Key, Date Paid, and Amount. Optionally set Applies To if the payment should credit a different month than Date Paid.
- •Use the search box to filter by key, date, notes, or amount. Click any column header to sort.
- •For many months at once, use Bulk Entry: set Year, Start/End Month, Scope (all tenants or one key), then Apply.
4Downloading statements (CSV)
- •On Tenants, set Statement from / to dates at the top.
- •Click CSV on a tenant row for that tenant only, or Download all CSV for every tenant.
- •The file includes monthly payments in the range, total paid, arrears at end of range, and compliance status.
- •You can also download from inside the Edit tenant dialog.
5As-of date & compliance
- •Dashboard uses the As-of date (editable on the Dashboard). Months after that date are not charged yet.
- •Green = no arrears · Orange = up to 1 month of rent · Red = more than 1 month outstanding.
- •Closing arrears carries forward from year to year automatically.
6Theme & account
- •Toggle Dark Mode from the sidebar switch or the top bar. Preference is saved in this browser.
- •Settings holds organisation preferences and notification toggles.
- •Notifications lists sample arrears alerts (can be wired to live rules later).
